Our client is a profitable U.S.-based software company on a meaningful mission to improve access to mental health care. They’ve built a platform designed specifically for therapists and insurance-funded mental health clinics, helping private practices operate efficiently and scale beyond local limits. The platform streamlines clinic operations, supports insurance workflows, and enables therapists to compete at a national level without losing the personal touch of private practice. This is a mission-driven team combining technology and healthcare to make quality mental health support more accessible across the country.
Key Responsibilities:
- Proactively manage executive calendars and email communications
- Schedule and coordinate meetings across multiple time zones with accuracy
- Take clear meeting notes, track action items, and ensure timely follow-ups
- Support personal and confidential administrative needs
- Oversee travel planning, bookings, and logistics end to end
Availability: Full-time. Location: In-person in Los Angeles preferred. Remote candidates considered if available during Pacific Time Zone business hours.

Required Qualifications
- Fluent speaking and writing English. Able to have a real-time conversation.
- 2+ years of full-time hands-on Virtual Executive Assistant experience.
- Exceptional organizational skills with strong written and verbal communication
- Ability to manage multiple priorities independently with minimal supervision
- Full professional fluency in English
- Availability to work during Pacific Time Zone hours
